PMO Coordinator

Job Location: The Campus, Pun Hlaing Estate, Hlaing Thar Yar Township, Yangon.

Working Hours: 8:30 AM to 4:30 PM, (Monday to Friday)

Position Purpose

The PMO Coordinator role oversees the administration needs of the Transformation Program, including major projects such as the Core System replacement. The role also supports the overall governance and effective performance management of these initiatives, as well as ensuring the projects within the Transformation Program adhere to the required project management standards as per internal Project Management Methodology. The role is also responsible for the coordination of program status reporting and tracking.

Key Result Areas

To contribute to the successful delivery of key projects for Wave, allowing Wave Money to fulfill its business plan objectives. This will be achieved by:

  • Ensure PMO processes are followed by project managers
  • Effective coordination of PMO activities including coordination of the PMO SharePoint site, PPM tool, mailbox, calendar
  • Establish and maintain a clear, well-structure documentation repository to ensure compliance with Wave’s Transformation project management methodology
  • Ensuring governance is applied over projects and then adhered to projects team members
  • Coordinate timely and accurate project reporting with Project Managers
  • Work with Project Managers to make sure that time recorded against projects is done correctly and accurately
  • Ensure action items are documented and completed

    Key Responsibilities and Accountabilities

    • Coordinate with Project Managers to deliver timely and accurate program status reports
    • Support Leadership Team with Project Health Checks.
    • Maintain PMO documentation and knowledge management across all PMO systems, processes and platforms (including SharePoint and PPM tool) and champion best practice.
    • Day to Day management of PMO platforms (SharePoint and PPM tool) including communication and coordinating system enhancements.
    • Initiate program resources management and time-sheeting
    • Attend relevant project meetings and workshops to understand and keep track of the project
    • Support with all program/ project management administration tasks, e.g. archiving projects/ program files
    • Maintain process to ensure project management documentation, reports and plans are accurate and complete
    • Provide administrative support for program meetings
    • Support project managers and project team members as required (minutes, meetings, decisions, actions and RAIDs, ensure follow up against actions and update PMO systems (SharePoint, PPM tool) accordingly.
    • Act as a reference point for PMO queries and information and be an advocate for project best practice.
    • Track and report on project portfolio performance, providing a real-time, comprehensive and prioritize view of all projects.
    • Coordinate team budget, raise POs
    • Organize and schedule program meetings with Boards, Steering Groups, accountable Project Managers and other program stakeholders.
    • Support the preparation of materials for meetings and ensure distribution in a timely manner.
    • Coordinate collection of feedback from the business in relation to PMO products/ services e.g. PPM platforms, SharePoint, project templates and governance processes.

    Experience, Functional Skills and Knowledge Areas

    Experience:
    •    3 years of progressive experience in PMO government role and working on large programs and projects
    •    Project Management delivery experience in Agile/Waterfall
    Education and qualifications:
    •    Tertiary education in Technology or Business Administration
    Functional skills and knowledge areas: 
    •    In-depth knowledge of project coordination & reporting 
    •    Planning, Organizing and Documentation skill 
    •    Ability to coordinate and communicate with multiple stakeholders 
    •    Knowledge in managing resources, tracking budgets, and managing project PRs and Pos
    •    Skilled in using project management tools for effective project tracking and reporting.

     Language requirements:
    •    Excellent communication (written and spoken) in both English and Myanmar Language is a must.
